Privacy Policy

MathsGap is run by Sharon Komolafe, a sole trader in the United Kingdom. In-person tuition is available across Havering and surrounding areas, and online tuition is available worldwide. This policy explains what personal data I collect, why I collect it, and what your rights are. For the purposes of UK GDPR and the Data Protection Act 2018, I am the data controller.

What I collect

From parents and carers

Name, email address, phone number, and billing details when you book a lesson.

About students

First name, year group, school, exam board, target grade, current attainment, and notes on topics covered and progress. Where you tell me about a special educational need, a diagnosis, or a health condition relevant to learning, I record only what I need in order to teach effectively. That is special category data and I treat it accordingly.

Automatically

Basic website analytics, including pages visited and approximate location. No advertising cookies.

Why I collect it, and my lawful basis

Where I hold information about a special educational need or a health condition, I rely on your explicit consent, which you can withdraw at any time.

Payments

Payments are processed by Stripe. I never see or store your card details. Stripe's own privacy policy applies to the data they hold, at stripe.com/gb/privacy.

WhatsApp

If you contact me on WhatsApp, Meta processes that message under its own terms. I keep enquiry messages for up to 12 months.

Who I share data with

I do not sell your data and I do not share it for marketing. I share only with:

• Stripe, for payment processing
• Professional bookkeeping or accounting services, where reasonably necessary for business records and tax compliance.
• The video lesson platform used for your booked online lesson.
• The relevant local authority or the police, if I have a safeguarding concern. See the Safeguarding Policy below.

How long I keep it

• Enquiries that do not become bookings: 12 months
• Student records and lesson notes: 2 years after the last lesson
• Financial records: 6 years, as HMRC requires
• Safeguarding records: as long as necessary, and passed to the appropriate authority

Your rights

You can ask me for a copy of the data I hold, ask me to correct it or delete it, restrict how I use it, or object to my use of it. Where I rely on consent, you can withdraw it at any time. Email me and I will respond within one month.

Where the student is under 13, these requests should come from a parent or carer. Students aged 13 and over can make requests themselves, and I will normally involve the parent who arranged the lessons.

If you are unhappy with how I have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

This site uses only the essential cookies needed to make it work. At present, MathsGap does not use advertising cookies or non-essential analytics cookies. If analytics are introduced later, this policy will be updated and any consent required by law will be requested.

Terms of Tuition

These terms apply to all tuition provided by Sharon Komolafe, trading as MathsGap. By booking a lesson you agree to them. Where the student is under 18, the contract is with the parent or carer who books.

1. What I provide

One to one maths tuition at Key Stage 3, GCSE and A-level, including Further Maths, across Edexcel, AQA, OCR and MEI. Lessons run for 60 minutes unless we agree otherwise. The initial diagnostic lesson is 30 minutes.

2. Booking and payment

• The £25 diagnostic is paid at the point of booking, through Stripe.
• Ongoing lessons are paid in advance. Payment must be received before the lesson. Block bookings are paid in full in advance.
• Block bookings are paid in full in advance.
• I may pause lessons where payment is more than 7 days overdue.

4. Online lessons

Online lessons take place using the video lesson platform stated in your booking or lesson confirmation. You are responsible for providing a device, a stable internet connection and a quiet space. Lessons are not recorded. Where a shared whiteboard is used, it may be used during the lesson as part of the teaching.

5. In person lessons

In-person tuition is available across Havering and surrounding areas at an agreed location confirmed before the lesson. Where lessons are at the student's home, a parent or another responsible adult over 18 must be present in the property throughout.

7. Conduct

I ask that students arrive on time, bring the equipment we have agreed, and complete the work set between lessons. I may end the arrangement if a student is persistently unprepared, or if a parent or student behaves abusively. If I do, I refund any lessons paid for and not yet taken.

8. Conflicts of interest

I do not tutor students who attend the school where I teach.

9. Safeguarding

I follow the Safeguarding Policy below. Where I have a concern about a child's welfare I have a duty to act on it, and in some circumstances I may need to share information without your consent.

10. Liability

Nothing in these terms limits my liability for death or personal injury caused by negligence, or for anything else that cannot lawfully be limited. Otherwise, my liability is limited to the fees paid for the lessons in question.

11. Changes

I may update these terms. Where a change materially affects you, I will tell you at least 14 days in advance.

12. Law

These terms are governed by the law of England and Wales.

Cancellation and Refund Policy

Your statutory right to cancel

If you book online or over the phone, you have 14 days from booking to cancel and receive a full refund, under the Consumer Contracts Regulations 2013.

If you ask me to start lessons within that 14 day period, you can still cancel, but I may charge for lessons already delivered. By booking a lesson that falls inside the 14 day window, you are asking me to begin.

Cancelling or rearranging a lesson

If I cancel

If I have to cancel, I will either rearrange at a time that suits you or refund the lesson in full. Your choice. If I am more than 10 minutes late to a lesson, that lesson is free.

Ending regular lessons

Either of us can end regular lessons with one week's notice. Any lessons paid for and not taken are refunded in full within 14 days.

Block bookings

Unused lessons from a block are refunded pro rata, at the standard rate rather than the discounted one.

Refunds

Refunds go back to the original payment method within 14 days.

Safeguarding Policy

I am a qualified teacher with QTS and I hold an enhanced DBS check. Evidence of my current DBS status can be shown to a parent or guardian on request. I follow safeguarding practices appropriate to one-to-one private tuition and keep clear professional boundaries with students and families.

My commitments

• I hold a current enhanced DBS check and will show it to any parent on request.
• I do not tutor students who attend the school where I teach.
• I keep records of concerns and of lessons delivered.

Online lessons

• Lessons take place using the video lesson platform stated in the booking or lesson confirmation, using a link sent to the parent rather than directly to the student.
• I teach from a neutral, appropriate room and I ask that the student does the same. Not a bedroom, where that can be avoided.
• Lessons are not recorded.
• Parents are welcome to be present or within earshot at any point, unannounced.
• I do not contact students privately on social media, personal messaging apps or gaming platforms. All arrangements go through the parent.

In person lessons

• A parent or another responsible adult over 18 is present in the property throughout.
• Lessons take place in a shared space such as a kitchen, dining room or living room, with the door open.
• I do not transport students.

Communication

• All arrangements, invoices and progress updates go to the parent.
• Where a student aged 16 or over arranges lessons themselves, I still ask for a parent contact where possible.
• I keep messages professional and about the maths.

If I have a concern

If I believe a child is at risk of harm, I have a duty to act. Depending on the concern I will:

1. Speak to the parent, unless doing so would put the child at greater risk.
2. Contact children's services in the local authority where the child lives.
3. Call 999 if a child is in immediate danger.

I cannot promise to keep a disclosure confidential. If a child tells me something that suggests they are at risk, I will explain that I have to pass it on, and I will tell them what happens next.
